Ordering, Shipping & Returns — Terms and Conditions

Thank you for choosing Porcupine Hollow Farm. We are a family-owned nursery in northern Michigan, and we appreciate the opportunity to help you grow.
Please review these policies before ordering. They explain how we reserve plants, schedule shipping, and handle cancellations, returns, and concerns.
These terms apply to orders placed on or after the effective date. Earlier orders remain subject to the terms applicable when they were placed.
Orders and Plant Reservations
When you place an order, we reserve living plant material for you, sometimes months before shipment. Plants are considered reserved once we receive the required payment or an agreed deposit.
All orders are subject to crop conditions and availability. Weather, frost, flooding, insects, disease, and inventory discrepancies may affect what we can supply.
If an item becomes unavailable, we will contact you about an alternative, a later shipping season, or a refund. We will not substitute a different species or smaller size without your approval.
Unless you tell us otherwise before fulfillment, we may ship the available portion of your order. If you need your entire order supplied together, please contact us before ordering or clearly state this in your order notes.
Plants naturally vary in shape, branching, and size. Listed measurements are approximate. Product photographs may show mature plants rather than the size being purchased.
Payment
Orders under $200 require payment in full when placed. Orders of $200 or more may be reserved with a 25% deposit by prior arrangement. Remaining balances are due two weeks before scheduled shipping or pickup.
Orders placed after March 1 for shipment that same spring require payment in full when ordered. Website checkout may also require full payment.
Orders must be paid in full before release for shipping or pickup.
Seasonal Shipping
Bare-root trees and shrubs do not necessarily ship immediately after ordering. We ship seasonally when plants are dormant and conditions allow safe digging, handling, and shipment.
Our usual shipping schedule is:
- Spring: Most shipping begins in mid-to-late March. Earlier shipping may be available for certain stock by prior arrangement.
- Fall: Some evergreens begin shipping in September. Deciduous trees and shrubs generally ship later, after sufficient dormancy, which may be in November.
- Summer: We generally do not ship bare-root plants during active growth.
- Winter: Shipping is limited by weather and available stored stock. Contact us before ordering for winter delivery.
Different plants may become ready at different times. Orders placed for a future shipping season will be held for that season.
During peak shipping periods, new orders may take two weeks or longer to prepare, even when the shipping season is underway.
Scheduled Shipping Dates and Weather
The scheduled shipping date shown on your invoice is an estimate, not a guaranteed shipping or delivery date.
Actual shipment depends on dormancy, weather, soil conditions, plant availability, and safe digging and handling conditions. We ship when conditions are suitable for the plants.
A date requested by a customer is a preference and is not automatically the scheduled date for the order. Please review your invoice and contact us promptly with questions.
If your project requires delivery by a particular date, contact us before ordering. We cannot guarantee that weather and plant readiness will allow us to meet that deadline.
Requests to change a scheduled shipping date must be made at least two weeks in advance and are subject to availability.
Routine weather-related adjustments may occur without individual notifications. During shipping season, our crew is focused on preparing and shipping orders, and we cannot provide daily scheduling updates.
We will contact you if your order must move to a different shipping season or if we cannot supply an item.
If you have questions about your order’s timing, please contact us. Please call for time-sensitive questions, as email responses may be delayed during our busiest periods.
An automated order confirmation or “processing” email does not mean your plants have been dug, packed, or shipped.
Shipping Charges and Delivery Information
Please check your delivery address carefully and notify us promptly of corrections. Address changes may not be possible once a package has been given to the carrier.
Customers may be responsible for additional shipping or reshipping costs caused by incorrect delivery information they provided.
Larger trees, oversized packages, and special delivery arrangements may require additional shipping charges. Please contact us before ordering trees larger than the 3–4-foot size category.
If additional shipping charges are necessary, we will obtain your approval before shipment.
Carrier delivery dates are estimates. If a shipment is delayed, lost, or damaged, contact us promptly so we can help investigate and determine an appropriate resolution.
Customer-Requested Cancellations
We reserve plants specifically for customer orders. When an order is canceled after plants have been held, opportunities to resell those plants may be limited.
Customer-requested cancellations, including changes of mind or planting plans, are subject to the following:
- More than two weeks before scheduled shipping or pickup: A 25% cancellation fee applies to the canceled portion of the order.
- Within two weeks of scheduled shipping or pickup: Customer-requested cancellations are non-refundable.
- After shipment: Orders cannot be canceled. Please follow the procedures below for arrival concerns and approved returns.
The cancellation cutoff is based on the scheduled shipping or pickup date shown on your invoice. Routine weather-related shipping delays do not automatically change that cutoff. If we agree to a revised cancellation deadline, we will confirm it with you.
Send cancellation requests to trees@porkyfarm.com, including your name and order number. The date we receive your request determines when it was made. Keep a copy and obtain confirmation that the cancellation has been processed. If you have not received a response, please call.
Items We Cannot Supply
If Porcupine Hollow Farm cannot supply an item, we will refund the amount paid for that item, applicable tax, and any associated shipping charges that no longer apply. No cancellation fee applies to items we cannot supply.
If we cannot fulfill your entire order, we will refund your full payment.
We may offer an alternative plant or a later shipping season, but you do not have to accept that alternative in place of a refund for an unavailable item.
Inspecting Your Order
We supply plants true to the species or variety ordered and package them carefully for shipment.
Open and inspect your order promptly upon arrival. Report damage, missing items, incorrect items, or concerns about arrival condition within seven days of delivery.
Please provide:
- Your name and order number.
- A description of the concern.
- Clear photographs of the affected plants and packaging, when possible.
Keep the plants and packaging until we provide instructions. Continue caring for the plants while we review your concern. Do not discard or return them without contacting us.
Dormant deciduous plants usually arrive without leaves. A lack of leaves at delivery does not, by itself, mean a plant is dead. Contact us if you are unsure about its condition.
We review concerns individually and determine an appropriate resolution, which may include care guidance, replacement, or refund. Replacement timing depends on availability and the appropriate shipping season.
Planting and Ongoing Care
Living plants require prompt and proper care. Plant as soon as practical after arrival. Until planting, protect roots from drying out and follow our Planting Instructions.
Do not apply fertilizer, manure, or fertilizer spikes during the first year.
We do not offer an unconditional survival guarantee after planting. Establishment depends on planting technique, watering, soil, drainage, weather, animal damage, and ongoing care.
Losses caused by improper storage, planting, or care, or by unsuitable growing conditions, are not covered by our arrival-condition policy.
Local Pickup
Pickup must be arranged in advance. Please collect plants on the agreed date and transport them with their roots protected from sun, wind, and drying.
If your plans change, contact us promptly. We cannot guarantee plant viability when pickup occurs more than one day after the agreed date because of a customer delay.
Returns
Live plants must not be returned without prior approval. Returning or refusing a shipment does not automatically establish eligibility for a refund.
Contact us before returning any merchandise so we can provide instructions and explain any applicable shipping charges.
Unopened non-plant merchandise may be returned within 30 days of delivery. Return shipping is the customer’s responsibility unless the return results from our error or a defective item.
Refund Processing
Approved refunds will ordinarily be issued to the original payment method.
We will confirm the refund amount and notify you when it has been submitted. Your bank or payment provider may require additional time to post the credit.
